SmileReign (“we,” “our,” or “us”) is operated by Cal West Dental Lab.

This Privacy Policy explains how we collect, use, protect, retain, and manage information when you use the SmileReign mobile or web application (the “App”).

SmileReign connects dentists, patients, and Cal West Dental Lab to manage and track dental treatment cases, including aligners, crowns, bridges, and related treatment workflows.

By using the App, you acknowledge this Privacy Policy.

We collect only the information necessary to operate and provide SmileReign services, including:

• Information provided by dentists, including case details, patient information, and contact information
• Basic patient information, including name, contact information, and case ID
• Communication data between patients, dentists, and Cal West Dental Lab
• Treatment-related information and photos uploaded through the App
• Technical information, such as device type and usage logs, used for app functionality, security, and reliability

We do not collect payment information, display advertisements, or use third-party analytics for advertising purposes.

We use information solely as necessary to:

• Facilitate dental treatment case tracking and communication
• Provide digital treatment plans and case information to dentists
• Process and manage dental laboratory cases
• Send treatment and case status updates to patients and providers
• Maintain system security, reliability, and functionality
• Comply with applicable legal and regulatory obligations

We do not use your information for marketing or advertising purposes.

We do not sell or rent personal information.

Information is shared only as necessary to provide SmileReign services and support the treatment process, including between:

• The treating dentist
• Cal West Dental Lab
• The patient, through their treating provider

We may also disclose information when required by law, legal process, regulatory requirements, or when reasonably necessary to protect the security, rights, or safety of SmileReign, Cal West Dental Lab, our users, or others.

We apply reasonable administrative, technical, and organizational safeguards designed to protect information transmitted through and stored within the App.

Access to treatment data is restricted to authorized personnel and providers who require access for legitimate treatment, laboratory, operational, security, or legal purposes.

While we take reasonable precautions to protect your information, no electronic transmission or storage system can be guaranteed to be completely secure.

SmileReign does not knowingly collect personal information directly from children under 13 years of age.

Information about patients under 18 years of age may be submitted and managed by their licensed dental provider or legal guardian for legitimate treatment purposes.

If we become aware that we have directly collected personal information from a child under 13 without appropriate authorization, we will take reasonable steps to delete that information.

California users may request, subject to applicable law and verification requirements:

• Access to their personal information
• Correction of inaccurate personal information
• Deletion of their personal information
• Information about how their personal information is collected and used

We may verify your identity before processing a request.

Certain information may be excluded from deletion or other requests when retention is required or permitted by applicable law, including information necessary for legal, regulatory, security, fraud-prevention, medical recordkeeping, or other legitimate purposes.

We retain personal data only for as long as necessary to provide SmileReign services, maintain treatment records, comply with legal obligations, resolve disputes, and enforce agreements.

Retention periods may vary depending on the type of information:

• Account/profile data: Retained while the account is active and deleted or anonymized after a verified deletion request, unless retention is legally required.
• Treatment data and uploaded photos: Retained as necessary for treatment workflows and dental laboratory or medical recordkeeping, then deleted or anonymized when no longer required.
• Security and audit logs: Retained for a limited period as necessary for security, fraud prevention, system integrity, and compliance purposes.

When a user requests account deletion, we will delete or de-identify personal data within a reasonable timeframe, except where continued retention is required or permitted by law, regulatory obligations, security, fraud prevention, or legitimate recordkeeping requirements.

• Your full name
• The email address used in the App
• Your role (Patient or Doctor)
• Your patient ID, if available

After verifying your request, we will delete or de-identify, as applicable:

• Account profile information
• Associated treatment photos uploaded through the App
• Related account-linked treatment workflow data

We may retain certain information when necessary to comply with legal or regulatory obligations, maintain required medical or dental laboratory records, protect the security of our systems, prevent fraud or abuse, resolve disputes, or enforce agreements.

We will review and process valid deletion requests within 30 days.

We may update this Privacy Policy from time to time.

If we make material changes, we will provide notice within the App or through other appropriate means before the changes take effect, when required by applicable law.

The updated Privacy Policy will include a revised effective date.
